Manage people and service access
Open People under Management. Owners and admins manage people. Finance members read the list and person details. Monitoring members have no access to this page.
Find a person
Section titled “Find a person”The list combines portal members, Microsoft Entra directory people, pending invitations and people who have only an Autarq Chat seat. A person present in several of these sources appears once.
| Field | Meaning |
|---|---|
| Person | Name and email address |
| Origin | Invitation, Microsoft Entra or Autarq Chat |
| Portal role | Owner, Admin, Finance, Monitoring, or no portal access |
| Access | Service access, Chat role and any reserved place |
| Status | Active, invitation pending, deactivated by directory or admin, conflict, or provisioning |
Select a person to open their drawer. Show deleted, where available, reveals directory deletion records. Data supplied by Entra is marked as managed there.
Grant and change access
Section titled “Grant and change access”Use Add person to send an invitation, optionally with a reserved Chat seat. In an existing person’s drawer, use the offered Chat controls to grant a free place, change its plan or change the Chat role. The Chat owner is changed through ownership transfer.
Only the organization owner changes existing portal roles. Owners and admins can manage invitations and other permitted access actions. A Finance viewer cannot perform these changes.
A person can appear with a Chat seat and no portal role. They can use Chat without entering the customer portal. A directory person can receive portal access through an invitation to their own address. openDesk users are managed in openDesk; the drawer provides the service link.
Handle directory people
Section titled “Handle directory people”With Entra enabled and connected, Block removes a directory person’s organization access and seat while retaining their records. Entra reactivation cannot undo an admin block; use Restore. An owner cannot be blocked.
Withdraw portal access removes portal membership while an Entra-assigned person keeps service access and data. Allow re-creation clears the deletion record of someone deleted through Entra so provisioning can create them again.
For people whose lifecycle belongs to Entra, make directory removals there. For invited portal members, Remove from organization requests tenant-scoped Chat data erasure. Read the consequences before confirming.
Check the result
Section titled “Check the result”Reopen the person’s drawer. Confirm portal role, Chat plan and role, and status independently. A person marked active can still lack a Chat place; check the Access column. Directory conflicts and provisioning states need their reported cause resolved.
